Chairman Larry Davison called the meeting to order at 8:10 pm in the BOC Chambers in the County Courthouse with the Pledge and a Prayer.

A quorum was determined to be present. Chairman Davison welcomed the members and Guests and then requested the roll call and reports from each Sub-committee Chair.

Note: This meeting is of special significance because the Memorial’s Architect and Project Manager were asked to be our Guests and report what is needed to start actual construction before the next monthly meeting.

REPORTS FROM THE VARIOUS COMMITTEES

1. Memorial Committee
Chairman Don Walter asked Architect Ken Beall to present the architectural layout and any changes needed before construction could begin. Beall came to the meeting and explained that the concept plan he designed about 3 years ago was just a typical design and he knew that specifics would have to be added/changed later near the date of construction. He has the architectural drawings in his office and all members are encouraged to go to his office and see them and make suggested changes.

Chairman Walter was to contact a granite company and secure a slab of granite as a sample of what we could use on the memorial. A sample tile will be available before the next meeting. How many tiles? The dimensions of the memorial structure will determine the size and number of tiles needed. Once the type of tile (granite, marble, color, size, cost) is determined, the desirable tile can be ordered.

Jeff Benko will contact the Park’s Director (site location of the memorial) and the BOC (donor of the 1-acre plat) to inform them that construction is about to begin.


2. Finance Committee
Treasurer David Kilpatrick gave a financial update. The only bill that needed to be paid was $30.00 annual fee for the domain name for our Veterans Memorial Web site. Total assets currently are about $80,000. See Financial Report attached.
Jim Alexander was to activate the PayPal option on our Web site for online donations. Jim is working on this.

NOTE: From the February Minutes
David Kilpatrick became Treasurer and Chairman of the Finance Committee since previous Treasurer Matt Alexander resigned in October 2007. David gave the following report.

All the proceeds from the Community b-b-q for the Veterans Memorial and the Reeves Family had come in (including those credit card donations) with a total of $21, 285.92. Fifty (50%) percent of the total was transferred to the Reeves Family (Leslie – Mrs Josh Reeves). The total now in the fund is $79,266.68.

Several donations had come since the last report:
On 11-30-07: $3,789.80
On 12-20-07: $1,200.00
On 1-17-08: $1,000

In the group above, the Oconee Democrats donated $100.00, Ted Evans donated $1,000 and The Oconee Leader donated $3,100.00. We paid out $545 to The Oconee Leader for the half page “Thank You” ad and $ _____to the Oconee Enterprise for a quarter similar ad. Also paid out was the amount of $39.61 – the fee for a bank card to handle the credit card donations from b-b-q.

Tonight, the Foundation received a $5,000 donation from IMI (Industrial Mechanical International), a tenant of the Watkinsville Industrial Park. Kate will write a Thank You note to them. That makes the funds total about $84,266.

There was some discussion about how much of our funds could be drawn immediately before a CD or other financial instrument would reach maturity if construction money were needed. The statement was made that the funds are in both local banks and an immediate withdraw would be no problem. David will look into this and be sure that funds are available when they will be needed by a Project Manager for construction of labor and materials. Withdraw for the construction was agreed to be $50,000 as a start.


3. Fundraising Committee
Same as reported last month - The Telephone Solicitation fundraiser being coordinated by Bob Smith is ongoing. Bob and several community citizens had met to plan the project before Christmas, but their progress was interrupted by the Holidays. It is still on tract per an e-mail from Bob to Kate. It is the feeling of the Committee that fundraising interest will increase as the Memorial construction progresses. B-b-q, auctions, 5K runs, raffles, etc can be pursued during the time from May through November 15.

4. Publicity Committee
Jeff Benko wanted an article written on the status of the Foundation at this time to inform the public that we are reaching stability and we are about to start the actual building of the memorial. Jim Alexander said he would coordinate with The Oconee Leader and have something written.

Miss Vinnie Williams agreed to publish an article in the OE (April 3 issue) to summarize the efforts of the Foundation so far and to publish the efforts being made tonight to actually start construction.

7. New Business
Mike Maxey, CEO and President of M&P Grading in the Watkinsville Industrial Park attended the meeting as a Guest and as the person Chairman Davison had contacted to be the Project Manager for the Memorial construction. Mike agreed to oversee the project at no charge for himself – a commendable gesture by one who has vigorously supported the building of this memorial from the beginning. Mike took the podium and handed out a page enumerating the Pricing Estimate of Phase I of the memorial. He explained each item in a list of materials and labor and included the cost for each. Some items were listed as a “donation” and others were potential donations. Mike said that if the weather corporated, he could have the main memorial (minus the surrounding garden) finished by July 4, 2008.

Mike also delivered a donation by IMI (Industrial Mechanical International) in the amount of $5,000. IMI is a business neighbor to Mike’s MP Grading, Inc.

There being no further business, the meeting adjourned at 8:05 pm
